Use of Smartsheet for Preventive maintenance program
Hello,
I looked at several tool to manage our maintenance program. We have several equipments with subcategory that I can organize with Parent and children relationship. I have a due date and a frequency of operation (industrial application: Replace hydraulic oil, replace wear plate etc).
My plan: create 2018 maintenance program sheet with all the equipment and tasks. I have a due date and actual completion date. Looks like I will not be able to visually display both date on the gantt but I can at least use this for tracking record. Based on the frequency I can automatically define the next due date (Next due date = completion +365 if yearly).
I keep filling this sheet until end of 2018. Once done, I saved the sheet as a template. Open the template for my 2019 plan. Copy next due date from the 2018 in the due date column of the 2019 plan.
I am barely getting started with the report tool but my expectation are to generate report showing on time completion and Due maintenance task for the upcoming month withj spare part list
I have seen I few application regarding facility management but not applicable to repetitive maintenance program.
I would like to get some feedback / recommendation for this preventive maintenance application.

If you want you could show both the due date and completion date in the description text (bars) by using another column to collect what you want to display. Would that help or do you need it to be more visual?

Thanks for your comments. I will add this on the Gantt view. I looked into the reporting tool and will also be able to track the "on time" completion.
I realize that I missing some feature for the "repetitive" tasks. I found a way around it by duplicating tasks (ex: Q1 inspection, Q2 inspection) and adding line item with precedence.
in short, I will utilize the gantt view for scheduling the PM but will use the reporting tool to track completion.

Even I want to create preventive maintenance program but for a duration of 15 days or 30 days and it should never end for various assets and construction machineries which I own. Can anyone please help with this?

This has to do with how a milestone is represented (ie. a 0 day duration). If you hard type milestone without a predecessor or successor, it will show up as the beginning of that day instead of the end of the day. If you have a milestone that is following a standard finish to start logic, it will show up at the end of the previous activity. <\/p>
So, Task B4 in the backwards version is actually saying that the completion happened in the 00:00 hr of that day. if you put any activity in that has a duration and uses the start to finish relationship, that activity will naturally finish at the end of the previous day. So, to get your example above to work, the finishing task would need to be 1 day long so it takes up the full work day.
